Individual arrangements for examinations

These instructions provide information on individual arrangements for examinations.

Individual arrangements are a type of individual support for learning, which may be needed, for example, due to a physical disability, sensory deficit, long-term illness, a difficulty related to reading or writing or a cognitive difficulty. Individual arrangements do not constitute grounds for compromising on learning outcomes. Instead, their purpose is to support you in achieving your learning outcomes.

What individual arrangements can be made in examinations?

Individual arrangements for examinations implemented on the basis of medical certificates or similar specialist statements can include the following: 

  • Additional time to complete an examination
    • The individual arrangements expert panel recommends 30 minutes of additional time for examinations whose duration is less than three hours, and 60 minutes of additional time for examinations whose duration is three hours or more. For well-grounded reasons, exceptions to this recommendation can be made.
    • The organiser of the examination session decides whether the additional time to complete the examination under individual arrangements is offered by bringing forward the start of the session or extending its duration (Rector’s Decision No HY/225/00.00.06.00/2018).
    • NB! On the basis of a difficulty related to reading or writing, additional time is only granted for examinations that require reading and writing; not, for example, for oral examinations.
  • Using a computer or other aids in an examination
  • A smaller or separate examination room
  • Alternative completion methods 

 

What kind of certificate do you need for individual arrangements?

When agreeing on individual arrangements, you must first present a statement provided by a doctor or other healthcare professional describing the nature of the disability or disease and the need for individualarrangements. You can also present a recommendation obtained from the University of Helsinki’s individual arrangements expert panel or a counselling psychologist. Alternatively, you can submit a corresponding decision by the Finnish matriculation examination board when requesting individual arrangements.

A statement from a special needs teacher, psychologist or speech therapist is sufficient to demonstrate difficulty with reading or writing. Further information on difficulties in reading or writing and related diagnoses is available on the website of the Helsingin seudun erilaiset oppijat association HERO (‘Diverse learners’ association of Helsinki’, website in Finnish only). The person drawing up the certificate must identify the student (name and personal identity code) and briefly state the grounds for the individual arrangements. The certificate should also describe which practical individual arrangements would benefit the student in their studies.

Please note that you are not entitled to individual arrangements in your studies or examinations until you have delivered a medical certificate or a corresponding specialist statement. When necessary, an accessibility liaison at Examination Services can request further clarification to statements and/or documents presented.

Delivery of specialist statements

You must agree on the delivery of a medical certificate or another specialist certificate via email with an accessibility liaison at Examination Services by writing to service address for individual arrangements. The accessibility liaison at Examination Services will send you instructions for delivering the certificate.

After submitting your certificate, information concerning the individual arrangements supporting your studies will be recorded so that it can be accessed by the persons responsible for individual arrangements. After this, you will receive instructions for future examinations.

Individual arrangements must be requested well in advance, and no later than 10 days before the examination. You can include in the same message all requests for individual examination arrangements for the same course/degree programme for a period extending to the end of the following calendar month. Individual arrangements related to teaching should be discussed with the course teacher or a party indicated in the course description as early as possible. Late requests cannot necessarily be accommodated.

Examination Services can provide confirmation to the teacher of your right to the requested individual arrangements, but information pertaining to any diagnoses serving as grounds for individual arrangements is not disclosed. If the need for individual arrangements is permanent, the same certificate is valid for the duration of your studies.

Individual arrangements associated with on-site examinations held in conjunction with teaching

Agree well in advance with the course teacher or a party indicated in the course description on any individual arrangements associated with on-site examinations held in conjunction with teaching. Please remember to mention the individual arrangements you need in on-site examinations when agreeing with the teacher on individual arrangements related to teaching. Please note that the teacher can also suggest an alternative method of completion, provided the learning outcomes of the course allow it. 

The teacher can ask you to present a certificate indicating your right to the requested arrangements. The teacher cannot take a copy of your certificate.

Please write to service address for individual arrangements in the following circumstances:

  • You do not want to present a certificate to the teacher
  • In matters pertaining to individual examination arrangements for interim examinations at the Faculty of Law 

If you need a separate examination facility for an examination, for which you have grounds verified by a doctor, please write to service address for individual arrangements no later than 10 days before the examination. Additional time to complete an examination does not constitute grounds for using a individual examination facility!

Your message must contain at least the following details: 

  • Unit responsible for/organising the examination (faculty)
  • Name, identifier and time of the examination
  • Name and email address of the examiner
  • Individual arrangements needed 
  • Your name and student number

Please remember to use an explicit subject, such as ‘Individual examination facility for completing an end-of-course examination on 31 January 2021 at the City Centre Campus’

An accessibility liaison at Examination Services will respond to requests and, when necessary, ask clarifying questions. In conjunction with the response, you will be provided with detailed information on the individual examination arrangements provided to you. 

Individual arrangements in online examinations, e.g., Moodle and MOOCs

Agree with the course teacher or a party indicated in the course description on any individual arrangements associated with online examinations held in conjunction with teaching. The teacher and degree programme are responsible for extending the duration of online examinations.

The teacher can ask you to present a certificate indicating your right to the requested arrangements. The teacher cannot take a copy of your certificate.

Please write to service address for individual arrangements in the following circumstances:

  • You do not want to present a certificate to the teacher
  • In matters pertaining to individual examination arrangements for interim examinations at the Faculty of Law 

Individual arrangements in general examination sessions (on site)

Agree on individual arrangements for on-site examinations held at general examination sessions with individual  by writing to service address for individual arrangements. Individual arrangements must be requested well in advance, and no later than 10 days before the examination.

Your message must contain at least the following details: 

  • Unit responsible for/organising the examination (faculty)
  • Name, identifier and time of the examination
  • Name and email address of the examiner
  • Individual arrangements needed 
  • Your name and student number

Please remember to use an explicit subject, such as ‘Additional time for the general examination session on 31 January 2021 at the City Centre Campus’.

An accessibility liaison at Examination Services will respond to requests and, when necessary, ask clarifying questions. In conjunction with the response, you will be provided with detailed information on the individual examination arrangements provided to you. 

If you have requested individual arrangements for an examination session that you cannot attend, please report your cancellation immediately to the individual examination coordinator by writing to service address for individual examination arrangements.

Individual arrangements in Examinarium examinations

Additional time for completing an examination

Please contact the examiner or the degree programme. You also need to present to the examiner evidence of your right to additional time. Additional time can be offered in general Examinarium facilities. Examinarium facilities for which individual arrangements are provided are not intended for students who only require additional time to complete an examination. 

Accessible examination facilities

Information on accessible buildings and examination rooms for students is available on the facility booking website. The Examinarium facilities for which individual arrangements are provided are not intended for students who only require accessible examination facilities. 

Examinarium facilities with individual arrangements

If you need individual arrangements other than additional time or an accessible examination facility for Examinarium examinations, please contact a individual examination coordinator at Examination Services by writing to service address for individual arrangements no later than 10 days before the examination.

Individual arrangements include needing to bring medication or snacks to the examination, a medical reason to use a toilet during the examination, the need for a separate examination facility or the use of aids for answering. Please note that you need to present documentation of your right to the individual arrangements before the examination session. 

The individual examination facilities of Examination Services are equipped with Examinarium computers (Viikki and City Centre Campus), which are available to students who cannot take their examination in general Examinarium facilities. You can book an Examinarium computer at the individual examination facilities only after contacting a special examination coordinator by writing to the service address! 

Individual examination facilities

Many individual arrangements for examinations, such as additional time to complete an examination or accessible seats, can also be implemented in general examination rooms, or by agreeing with the teacher on alternative completion methods. You can use your personal earplugs in general examination rooms.

  • If you need individual examination arrangements that cannot be implemented in general examination rooms
  • In matters pertaining to individual examination facilities

Location of individual examination facilities and their equipment

The University of Helsinki has individual examination facilities that are reserved for students who require separate examination facilities. At the City Centre Campus, the individual examination facilities are located on the third floor of the Porthania building at Yliopistonkatu 3 (accessible entrance via lift or the Kaisa House library). Similar facilities are available on the other campuses as well.

A range of examinations can be taken at the individual examination facilities. You will be admitted to the facilities by either Examination Services staff or an hourly-paid invigilator. The examination facilities have a CCTV recording system, as well as call buttons and/or a microphone, which can be used to contact the invigilator, for example, for toilet breaks.
