Attendance registration of doctoral researchers

By selecting a degree programme you are able to see the general content as well as the possible degree programme-specific content. You do not have to select a degree programme to see the Open University's instructions.

Registering for the academic year means registering as an attending or non-attending student for the academic year in question. This registration is an annual obligation for all degree students. By registering annually from the first year of studies to graduation you will ensure that your doctoral research can proceed without interruption.

Principles for registering for the academic year

  • Register for the academic year annually at your own initiative during the registration period. If you are a new student, you will be registered automatically for the first academic year once you have accepted the offered study place.
  • If you have several study rights, register for each of them separately. If needed, instructions for registering for first- and second-cycle degrees are available on the page Registration for the academic year by basic degree students.
  • Register for each study right either as an attending or non-attending student depending on whether you intend to study during the academic year or term in question.
  • Participating in studies and graduating is possible only for students registered for attendance.
  • If you register as non-attending and plan to have a break from your doctoral studies, don't forget to keep your supervisors, your responsible person and the members of your thesis committee updated of your plans.
  • The Student Union membership (compulsory for basic degree students) is optional for doctoral researchers.

Registration period

The registration period is approximately at the same time each year. The exact dates are separately announced for each academic year.

  • The registration period for the academic year 2025–2026 is from 1 April to 1 September 2025.

Whether registering for attendance or non-attendance, you must observe the set registration periods. The registration period ends the last registration day at 23.59, when also e-mail registrations need to arrive.

If you fail to register during the set registration period, you may be charged a re-enrolment fee.

How to register

As a rule, students are expected to independently register for the academic year using the Oili registration service. The user accounts of non-attending students will be automatically activated for the registration period to allow them to register through Oili.

Registration through Oili:

  • Log into Oili using your University credentials.
  • If you are registering as an attending student, you can pay the Student Union membership fee through Oili when registering.
  • If you are registering for attendance for the autumn term only, Oili will automatically register you for non-attendance for the spring term.
  • Oili is open only during the registration period.

Registration outside Oili

If Oili registration does not work for you, registering for the academic year is also possible

  • by email or
  • in person at the Kaisa House Student Advice service point. 

Also, remember to submit the following information when registering:

  • Which study right or rights you are registering for
  • Whether you are registering as an attending or non-attending student
  • Your student number or date of birth

If you wish to join the Student Union, attach the receipt of a paid membership fee to the email. A receipt file from an online banking service, displaying the archive code, is sufficient. 

Your email with the required attachments must arrive at Kaisa House Student Advice (studentinfo@helsinki.fi) by the last date of the registration period at 23.59. A late email will be considered as a late registration.

If you wish to register for the academic year in person or submit the receipt of the Student Union membership payment in person, visit the Kaisa House Student Advice service point during its opening hours before the closing of the registration period. Please note that the service point is not open every day.

Student Union membership fee

As a doctoral researcher you can join the Student Union any time of the academic year. The simplest way to join is to take care of it together with your annual registration for the academic year.

If Oili registration is not possible, please pay the Student Union fee and send or show the receipt to the Student Services.

The Student Union membership is voluntary for doctoral researchers.

The student card and benefits connected to it are available only as a member of the Student Union. The green student card for doctoral researchers can be ordered from Frank.

Membership fees for the academic year 2025–2026:

  • Entire academic year: €85.00
  • Autumn term: €44.00
  • Spring term: €41.00

Changing registration status during the academic year

You can change your registration status in Oili (during the registration period) or by contacting Kaisa House Student Advice.

  • You can change your status from non-attending student to attending student any time during the academic year.
  • Attendance for the spring term can be changed to non-attendance until 15 January.
  • Attendance for the autumn term or the entire academic year can be changed to non-attendance by the end of the registration period for the academic year.
  • You can apply for the reimbursement of the Student Union membership fee by contacting the Student Union Services Office.

Did you forget to register?

If you do not register as attending or non-attending during the registration period (1 April – 31 August), you will lose your study right.

If you forgot to register but want to reinstate your doctoral study right and register as attending or non-attending during the same academic year (by 31 July), you can do so simply by paying the re-enrolment fee prescribed by the University and sending the receipt to the Kaisa House Student Advice (studentinfo@helsinki.fi) together with the information needed for registering (see section "How to register" above).

If your studies have been on hold for a longer time and it has been more than one academic year since you last registered at the University, you must apply for the reinstatement of your study right from your faculty.
